Waitlist management lets you individually approve or decline enrollment requests without requiring immediate payment. If a participant is declined, no refund process is needed.
Step-by-step Instructions
Introduction
The waitlist collects enrollment requests and allows case-by-case decisions to approve (with subsequent payment) or decline participants.
Creating sessions
- Create a session with status “Pending”
This session will be visible in the catalog.
Participants create a profile but do not pay immediately. - Create a private (Confirmed) session
This session will receive enrollments from approved participants.
Link the private session to the “Pending” session.
Managing the waitlist
- Go to the session management menu.
- Select the relevant session and click “Waitlist.”
Management features
Approve a participant
- Use the approval option to validate the enrollment.
- The participant will receive an email with the link to enroll and proceed with payment.
Decline a participant
- Use the decline option.
- A decline notification email will be sent automatically.
Reduced Price
- If “Reduced Price” is checked, the participant receives the partner price for this session only.
Notifications
- When a participant is added to the waitlist, a confirmation email is sent.
- If approved, an email is sent with the enrollment link.
- If declined, a notification email is sent.
Note: You can customize the decline message via the session’s notification options. This message will fully replace the standard email content.
Tips / FAQs
- Use a “Pending” session to gather demand, and a linked private confirmed session to finalize approved enrollments and payments.
- Before approving, ensure the private session is correctly linked and open for enrollment.
- Customize the decline message to provide alternate dates, eligibility criteria, or next steps.
