System Notifications

Summary

This guide lists all email notifications generated by Viva Helix: recipients, covered media (in‑class, seminar, webinar, online), triggers, and customization options (legal text, session “Instructions,” send delays).

Recipient legend

  • Buyer: user who created an account and completed a transaction (free or paid), for self or other participants.
  • Contact email: the “contact email” stored in the company profile by the registrar.
  • Participant: the enrolled learner’s email (may be absent if assigned by date of birth). If no valid participant email exists, the buyer still receives the email.
  • Registrar / Instructor / Manager: internal recipients depending on the alert.

  • Timing: the “starts soon” reminder defaults to T‑2 days for in‑person/webinar; ViVa can adjust this delay on request.
  • Status: automatic reminders require Confirmed session status.
  • Contacts: ensure the company’s contact email is filled if you expect it to receive notifications.
