Guide – Use the “Price Coming Soon” Option in a Session

This guide explains the new feature that allows you to indicate that a session price is not yet defined. When a session is marked as “Price Coming Soon,” this message will appear in the catalog or calendar, and registrations will be temporarily disabled.

Step-by-step Instructions

1) Access the session settings

  1. Open the Sessions menu in Viva Helix.
  2. Select the session you want to edit.
  3. Click Edit to open its settings.

2) Enable the “Price Coming Soon” option

  1. Scroll down to the Price section of the session.
  2. Check the box Price Coming Soon.
  3. Save your changes.

Result: In the catalog and calendar, “Price Coming Soon” will appear instead of the price, and registration will be blocked as long as this option is enabled.

3) Set the final price

  1. When the price is decided, return to the session settings.
  2. Uncheck the Price Coming Soon option.
  3. Enter the actual price and save.

Result: The real price is displayed and registrations become available again.

Tips

  • Use this option to avoid confusion between free sessions and sessions with an undecided price.
  • Plan and publish your sessions early, even if the price is pending, to inform potential participants.
  • Always uncheck “Price Coming Soon” as soon as the amount is confirmed to open registrations.
