Automated Management of Session Publication and Registrations

This guide explains how to use Viva Helix’s new options to automate session visibility in the catalog and control when registrations become available. Two separate settings provide flexibility: the catalog publication date and the registration acceptance date.

Step-by-step Instructions

1) Catalog publication date

  1. Edit the session in the admin panel.
  2. In the Catalog publication date field, set the desired date.
  3. From that date onward, the session will automatically appear in the catalog.

Default behavior: if left unchanged, the publication date is set to the current day.

2) Registration acceptance date

  1. In the same form, locate the Registration acceptance date field.
  2. Set the date when users should be allowed to register.
  3. This allows you to display the session in the catalog before registrations open.

3) Possible scenarios

  • Simultaneous publication and registrations: both dates are the same.
  • Early publication: the session is visible in the catalog but registrations are not yet available.
  • Delayed publication: the session remains hidden until the chosen date.

Tips

  • Plan sessions in advance by setting both publication and registration dates.
  • Use early publication to generate interest before opening registration.
  • Always double-check that the configured dates align with your marketing calendar.
