Guide – Registration Status

Summary

This guide presents the different statuses available for a registration in Viva Helix. Each status reflects the stage or condition of a participant’s enrollment process.

Available Statuses

Planned

Used by the registrar to plan future sessions, for example to forecast classroom capacity and estimate costs months in advance.

Confirmed

The registration is valid and the participant’s place is officially reserved.

Completed

Assigned when the student achieves a passing grade or when the trainer manually marks the registration as completed for non-graded courses.

Cancelled

Set manually by the registrar to cancel a registration, usually in the case of refunds or enrollment changes.

Pending

Applied when a student selects payment by check. The registration remains pending until the payment is received and processed. It automatically switches to Confirmed once the invoice is marked as paid.

Reserved

Used when a registration requires registrar approval. It becomes Confirmed if the request is approved.

Substituted

Assigned when one participant is replaced by another for the same registration.

Declined

Used when a registration requires approval and the registrar rejects the request.

Tips

  • Use Planned to test session feasibility before confirming.
  • Always update the status after receiving a payment to avoid tracking errors.
  • Keep the status history to better understand the participant’s enrollment journey.
