This guide covers the trainer workflow: accessing the site, signing in, understanding the home page, available session actions, managing the attendance list, entering and submitting results, and accessing your profile. Updated – May 2025.

Step-by-step Instructions

1. Access your training site

Use the following link, replacing XXX with your group’s initials:

https://XXX.vivadminsys.com/

2. Sign in

Sign in using the email address and password provided by your organization.

3. Home page after signing in

Once signed in, you will see the list of sessions where you are designated as a trainer.

4. Available actions on sessions

In the Actions menu of each session, several options are available, including:

• Attendance list: View enrolled participants.
• Results: Enter and submit student results.

5. Manage the attendance list

This feature lets you:

• View the complete list of participants.
• Check attendance directly in the interface.

6. Enter and submit results

Proceed as follows:

• Enter each participant’s results in the designated fields.
• Add specific comments for each student as needed.
• A global comment field is also available for general remarks about the session.

When everything is complete:

• Click Save to store the data.
• Then click Submit to officially send the results to the registrar.

7. Access your profile

Click the User tab (at the top or in the menu). There you will find:

• Your account (the only one visible in this section).
• Your enrollments as a student.
• The option to change your password or other personal information.
• Your discount coupons, if applicable.

Tips / FAQs

• Check the Results section regularly to complete grades on time.
• Use the Attendance list before entering results to avoid inconsistencies.
• If you forget your password, use the reset option available from the sign‑in screen.
